Creating and managing users in BMC Cloud Lifecycle Management

After a tenant is created or imported in BMC Cloud Lifecycle Management, you can add users to a tenant by using the BMC Cloud Lifecycle Management – Administration Console. If users for a particular tenant are created in the Application Administration Console (a component in BMC Remedy IT Service Management Foundation), as a cloud administrator, you can sync users and update the BMC Cloud Lifecycle Management data. 

As a cloud administrator, you can now assign multiple tenants to a cloud tenant administrator (also known as a cloud organisation administrator). A cloud tenant administrator can perform all administrative activities for all tenants assigned to the user. For more information about the capabilities and limitations of the cloud tenant administrator, see Getting started by user role.

Adding users to a tenant

As a cloud administrator, you can create a Cloud administratorCloud tenant administrator, or a Cloud end user for any tenant. As a cloud tenant administrator, you can only create a cloud organization administrator or a tenant administrator, and a cloud end user for the tenant to which you belong. When you import a tenant, all the users belonging to the tenant are imported, too. 

To add users to a tenant

  1. From the Administration Console, click the vertical Workspaces menu on the left side of the window and select Tenants.
  2. On the Tenant Management pane, select a tenant in which you want to add new users and click the Users tab.
    The users belonging to this tenant are displayed in the left side of the pane.
    By default, a user is selected from the Users list and the details for the particular user, such as the name, address, role, login ID, and quota details, are displayed. 
  3. Click Add User  to add a new user.
  4. On the Add New User dialog box, enter the requested information. 
    The fields marked with an asterisk (/*) are mandatory.
    1. From the Tenant list, select the tenant in which you want to add the user.
      By default, the selected tenant is displayed.  
    2. In the Basic Information area, enter the First Name, Last Name, Email Address, and Phone Number for the user.
    3. In the Login ID, Password, and Confirm Password fields, enter a unique logon ID and appropriate password for the user.
      The user uses this logon ID and password to log on to BMC Cloud Lifecycle Management – My Cloud Services Console later.  

    4. From the Role list, select the role for this user. 
      If you are a cloud administrator, you can create a cloud administrator, a cloud tenant administrator, or a cloud end user. For details about the activities each type of user can perform, see Getting started by user role.
    5. If you want to force the user to change the password after the user logs on to BMC Cloud Lifecycle Management for the first time, select the Force Password Change On Login check box. 
    6. Perform the following steps in the Allocation area, if you want to specify a limited quota for the user.
      By default, the Maximum check box is selected and the user is allocated maximum quota. For details, see Setting and managing quota.
      1. Clear the Maximum check box for the Server, CPU Count, Memory (GB), and the Local Storage (GB) fields.
      2. In the User Quota text box for the Server field, enter the number of servers that you want to assign to the user. 
      3. In the User Quota text box for the CPU Count field, enter the number of CPUs that you want to assign to the user.
      4. In the User Quota text box for the Memory (GB) field, enter the memory in GB that you want to assign to the user.
      5. In the User Quota text box for the Local Storage (GB) field, enter the local hard disk in GB that you want to locally assign to the servers in the user. 

        Warning

        The value for any of the User Quota fields must not exceed the Available to Allocate quota value and should be more than the used quota for the user or the quota will not be allocated. 

    7. To associate cost centers with the user, click the Cost Center tab. 
      If you want to associate cost centers to the user, perform the following steps in the Cost Center tab. 
      1. To add a primary cost center, on the Primary Cost Center table, click Add Primary Cost Center.
      2. On the Cost Center Search dialog box, click Search to search for the active cost centers within the tenant. 
      3. From the search results, select a cost center and click Add.
      4. To add a secondary cost center, on the Secondary Cost Center table, click Add Secondary Cost Center.
      5. On the Cost Center Search dialog box, click Search to search for the active cost centers within the tenant. 
      6. Select one or multiple cost centers and click OK.
        For more information about associating cost centers, see Associating cost centers to cloud users.

    8. To assign multiple tenants to the cloud organization administrator, click the Access Restriction tab.

      Note

      The Access Restriction tab is visible only if you are creating a cloud organization admin.

       If you want to assign multiple tenants to the cloud tenant admin, perform the following steps in the Access Restriction tab:

      1. In the Associated Tenant(s) List, click Add Access Restriction.
        The following figure describes the list of tenants in BMC Cloud Lifecycle Management. 
      2. In the Access Restriction dialog box, select the tenant or multiple tenants, which you want to assign to the cloud organization administrator.

        Note

        You can associate only onboarded tenants to a tenant administrator.

        A tenant administrator can onboard VMs on any cloud user from the tenants assigned to the tenant administrator. If the tenant administrator provisions a service offering instance, the quota from the tenant company is which the tenant administrator is created is consumed.

      3. Click OK
        In the Add User dialog box, a list of tenants associated with the user are displayed.  
  5. Click OK.
    The new user is created and assigned a license as per the configuration for the tenant. 
    As a cloud administrator, you can change the license for the user from the Configuration workspace. For details, see Setting Configuration workspace options

To verify whether the user is created successfully, click the Activities tab. The Update User Quota message along with the status is displayed. 

If the user is created but the quota details are not updated, the activity fails. You can edit the user and update the quota manually again.  

On the Users tab, in the users list, the newly added user details are displayed.

Editing users in a tenant

You can edit a user to change any details, such as the name, role, or the quota allocated to the user. You cannot edit the tenant details for the end user after the end user is created. You can change the tenants assigned to a tenant administrator. 

To edit users in a tenant

  1. From the Administration Console, click the vertical Workspaces menu on the left side of the window and select Tenant.
  2. Click the Users tab.
  3. From the Tenant list, select the tenant whose users you want to edit. 
    By default, the users of the tenant selected in the Tenant tab are displayed.  
  4. From the list of users, select the user whose details you want to edit and click Edit User .
    If the user's name does not appear in the list, enter the name of the user in the Search field and click Search.
    The name of the user appears in the list.
  5. On the Edit User dialog box, make the required changes. 

    Note

    The Tenant list is disabled and you cannot edit the tenant for a user.

  6. Click OK

To verify whether the user details are modified successfully, click the Activities tab. The Update User Quota message along with the status is displayed.

On the Users tab, in the users list, the newly edited user details are displayed.

Deleting users from a tenant

You can remove users from a tenant. After deleted, the user can no longer access BMC Cloud Lifecycle Management.

When a user is deleted, the quota assigned to the user is released and the Available to Allocate tenant quota increases. 

Note

If the user is provisioning a service offering instance, you cannot delete the user unless the service offering instance is decommissioned or transferred to another user.

To delete users

  1. From the Administration Console, click the vertical Workspaces menu on the left side of the window and select Tenant.
  2. Click the Users tab.
  3. From the list of users, select the user whom you want to delete and click Delete User 
  4. On the Delete User dialog box, click Yes.

To verify whether the user is deleted successfully, click the Activities tab. The Delete User activity along with its status is displayed.

Synchronizing users from BMC Remedy ITSM Foundation to BMC Cloud Lifecycle Management

When you import an existing tenant, all users belonging to the tenant are also imported in BMC Cloud Lifecycle Management. Later, you can perform a sync between BMC Remedy IT Service Management Foundation and BMC Cloud Lifecycle Management to keep the user data updated. If you create people records in BMC Remedy IT Service Management Foundation for the tenant, which is already imported, you can use Sync User to create a relation between the users and the organization and update the user data in BMC Cloud Lifecycle Management. You select a tenant to sync users belonging to the tenant. 

When you sync users, users are allocated unlimited quota, but you can change the user quota details later. For details, see Setting and managing quota.

To sync users in a tenant

  1. From the Administration Console, click the vertical Workspaces menu on the left side of the window and select Tenant.
  2. From the list of tenants, select the tenant for which you want to update the users.
  3. Click Sync User

To verify whether users are synchronized successfully, click the Activities tab. The Synchronize Tenant Users activity along with the status is displayed.

On the Users tab, the updated list with the users is displayed.
