Filtering the data you want to export

Through a combination of the following components, you can filter data that BMC Helix Data Manager exports from forms:

  • Qualification to Parent—Forms that have a parent will only have data exported where records in the child form match the qualification to exported records in the parent form. This enables BMC Helix Data Manager to export related sets of AR System data while maintaining data integrity.
  • Form Mapping Filter—To restrict the data that is exported, you can define a form mapping with an AR System qualification.
  • Data Filter—You can add data filters to any form in the migration tree for an export template. A data filter will effectively cascade down the migration tree to filter child forms. For example, if you add a data filter to limit HPD:Help Desk records to Open Tickets and those logged within the last year, BMC Helix Data Manager will export only Worklog records linked to those incidents.

Data filters appear when you select a form or table from the migration tree.

To add parameters

  1. From the navigation bar, select Data Migration > Migration Packs.
  2. Select a migration pack.
  3. Click the Export Template tab.
  4. On the Included Forms or Included Tables sub-tab, click Add Data Filter.

  5. In the Filter Data dialog box, select Custom Qualification and define a qualification, or select Existing Parameters to select from pre-defined migration parameters.
For example, add this custom qualification:
    ($Company$ = "-Global-")

  6. If you selected Existing Parameters, use the following settings:

    Field

    Description

    Shared

Select the check box to indicate that the parameter is shared. Then, it can be added to multiple locations in the tree but only prompts for the parameter once when performing an export.

Match on Remedy Field (Remedy application types only)

If the selected parameter is a Menu or Date Range style prompt, on the source form, you must select the field ID that will be used in the filter. Open the menu to select the field that will be used to filter data. For example, match on Company name to build an underlying AR System qualification of:

    $Company$ = "Selected menu value"

  7. Click Apply Data Filter.

Tip: For faster searching, add an asterisk to the end of your partial query. Example: cert*
