Viewing and responding to More Information requests

When you submit a More Information request, the status of the related approval request changes to More Information. When the recipient responds to the More Information request, the status of the related approval request changes back to Pending

To view and respond to More Information requests to you

  1. Open Approval Central by using one of the methods described in Approval Central.
    By default, the Pending Approvals table displays requests with the Pending, Hold, and More Information status.
  2. To view requests with the More Information status only, in the Summary section, click Needs Attention.
    The Needs Attention Approvals table displays the list of More Information requests that are awaiting your attention.
  3. Select a request to view its details.
  4. In the Request Details section, click Response.
    The AP:More Information form opens in Modify mode, and More Information requests directed to you are listed in the results table included on the form.
  5. Select the request you want to respond to from the results list.
    The details area of the form changes to show details of the selected More Information request.
  6. Type your answer in the Response field, and click Save.
    The status of the More Information request automatically changes to Completed. The request no longer appears in the More Information Requests table after the search is refreshed. Approval Server  routes the response back to the More Information requester.

    By default, the Public group does not have change permission to the Response field of the AP:More Information form. The AR System  administrator must set the correct permissions on this field to allow the appropriate groups to respond to More Information requests.

To view a More Information response

  1. Open Approval Central by using one of the methods described in Approval Central.
  2. Select the appropriate request from the Pending Approvals table, and click Approval Details.
  3. On the AP:Show-Detail form, open the Activity Log tab.
  4. Click the row pertaining to your Question or Comment.
    The response is visible in the appropriate field of the Activity Log Details section. 
    You can access More Information requests that you have submitted by finding the related approval request in Approval Central, and clicking Manage More Information in the details view to access the related More Information request.

    The Manage More Information control is not provided out-of-the-box with Approval Server ; it is included only in the sample applications. To use this control with a customized application, you must add it to the relevant three-way join form.

To view a pending More Information request

  1. Open Approval Central by using one of the methods described in Approval Central.
    By default, the Pending Approvals table displays a predefined number of requests, including those with the Pending, More Information, and Hold status.
  2. To view More Information requests only, click the Needs Attention link in the Summary panel.
    This action also displays only a predefined number of requests at a time.
  3. To view the complete list of More Information requests awaiting your attention, select More Information in the Status field in the Quick search section.
    The Approval Search Result table displays the requests for which the status is More Information.
  4. In the Approval Search Result table, select a request, and click Approval Details.
  5. On the AP:Show-Detail form, open the Activity Log tab.
  6. Click the row pertaining to your Question or Comment.
    The Activity Log Details section displays the corresponding details.
