Form to attach approval request forms to approval server

The AP:Form form is linked to the Form tab of the AP:Administration form. Process administrators use the AP:Form form to attach approval request forms to the approval server.

Field

Description

Form Name

Select a form on the current server, or type a form name.

Lookup Keyword

Type a keyword to be used by the approval server when searching for this form. The keyword acts as a permanent search term, even if the name of the form changes.

Used By

This field contains the name of the BMC Remedy AR System application that uses this form. BMC Remedy AR System populates this field with Approval.

Approval Reporting

Enter the name of a form used for reporting, if any.

Assignee Group Permission

The BMC Remedy AR System populates this field with the Assignee Group for the request. This field supports the multi-tenancy feature.

Search

In Search mode, click this button to perform your search.

Request ID Link Association

The Request ID Link Association has three options to check the link association for the form mentioned in the Form Name field.

Application Request Form Opens the application request form associated with the form mentioned in the Form Name field. For Example, opens CHG:Infrastructure Change form for Change Management users.

Approval-Application 3-Way-Join Form Opens all the join forms associated with the form mentioned in the Form Name field. For Example, opens CHG:ChangeAPDetailSignature form for Change Management users.

Customize When you select Customize, you can open any form associated with the form mentioned in the Form Name field, other than Application Request Form and Approval-Application 3-Way Join Form. For Example, opens SRS:RequestDetails form for Service Request Management users.

View LabelSelect specific view name on the form. The selected view opens when you click the Request ID.

Save

In Submit mode, click this button to save your changes.

Close

Click this button to close the window.

 


Advanced tab

The Advanced tab enables Process administrators to define field mappings for a request form at the application level. These mappings are not mandatory. Not all field types are supported for mapping.

Warning

If you define mappings on the unsupported field types on the AP:Form form, the approval server might fail.

The fields on this form are reserved field IDs in the approval server. You can map them to other fields on the application forms by using the corresponding menus. The values from the mapped fields are displayed on Approval Central and AP:Show-Detail. The following table describes where these values appear.

Fields on the AP:Form form — Advanced tab

Field Description
Application Request ID Map to an application ID, which could be the request ID or any other ID field in the application. For example, BMC Change Management uses its own IDs to represent a particular record, apart from the one generated by BMC Remedy AR System. You can map this field to that field from the BMC Change Management application. The value from the mapped field is displayed on Approval Central as the Request ID link. If the value is NULL, the request ID is displayed by default. See Approval Central.
Requestor Map to a user field on the application form. The value from the mapped field is displayed in the Requestor column on Approval Central.
Field 1 {14506} The value from the mapped field is displayed in the Summary column on Approval Central.
Field 2 {14507} Currently, the approval server does not use Field 2. This field was used in releases earlier than 7.5.00 to display certain fields on the approval console.
Field 3 {14508}  Field 4 {14509}  Field 5 {14510} Field 6 {14511}

The values from the mapped fields are displayed in the top panel on AP:Show-Detail. For example, for a request of the Lunch Scheduler sample application, these values appear against the following labels:

  • P-C GL Account
  • P-C Cost Center
  • P-C Total Cost
  • P-C Phase

In your application, you can specify the labels that should appear for these fields on AP:Show-Detail.

Field 7 {14512} The value from the mapped field can be used in accordance with the user requirement. Currently, the value of this field is not displayed anywhere on Approval Central.
Field 8 {14513} The value from the mapped field is displayed in the Notes field for a request on Approval Central.
Field 9 {14514} The value from the mapped field is displayed in the Attachment table on the AP:Show-Detail form.

Note: You can map this field only to other Attachment fields.
Define Labels Click to define labels for the fields 14508, 14509, 14510, and 14511, for various applications, processes, and locales. The AP:DynamicLabels form appears. See Form to set local-specific labels and tooltip labels.
Save In Submit mode, click this button to save your changes.
Close Click this button to close the window.

Note

Changing the field mappings on this form only affects new requests. The older requests retain their original field values.

ToolTip Configuration tab

The ToolTip configuration tab enables Process administrators to define tool tip field mappings for a request form at the application level. These mappings are not mandatory.

You can map them to fields on the application forms by using the corresponding menus. The values from the mapped fields are displayed in a tool tip on Approval Central. The following table describes where these values appear.

The values from the mapped fields are displayed in a tool tip that appears when you hover on the summary column of the request on Approval Central.

Note: To display the tool tip, you must also define labels for all the mapped fields. If you have defined labels, but not mapped any fields, then the tool tip will display the labels without corresponding value. If you have mapped the fields, but not defined any labels, the tool tip does not appear.
Define Labels Click to define labels for the fields 14711, 14712, 14713, 14714, 14715, 14716, 14717, 14718, 14719 and 14720, for various applications, processes, and locales. The AP:DynamicLabels form appears. See Form to set local-specific labels and tooltip labels.
Save In Submit mode, click this button to save your changes.
Close Click this button to close the window.

Note

If the value from the mapped fields contains any HTML content, approval server renders the content as HTML content.
